Before Starting a Case Study

Make sure you have:

  • A pre-PKB workflow and post-PKB workflow

  • Identification of efficiency savings and / or improved outcomes collected with multiple patients.

  • Quantitative outcomes in the form of measurable savings / outcomes which can be complemented by qualitative statements

Being able to demonstrate the positive outcomes and evidence the benefits of a change can be useful for many reasons:

  • It helps to document the whole process and explain what was involved including the people, processes and technology.

  • It provides the opportunity to justify the reasoning for the change in the first place.

  • It clearly identifies the problem which was identified and rectified from the change.

  • It provides an opportunity to document the lessons learnt during the process.

  • It helps to promote the change and the different ways of working and the benefits being achieved.

Think About The Purpose

Think about its purpose and what it will be used for.  What do you want to showcase?  Try to be as focused as you can on one main aspect in the content.

  • Title/theme - What’s the headline angle?  

It needs to be clear in the title what the case study is about.

  • Introduction - Why is this case study important?

Summarise the central purpose of the case study and what it is illustrating, for example efficiency for the hospital, outcome for the patient, supporting elective recovery.  Ideally illustrate working alongside a national priority.

  • The Problem - What was the situation?

Provide background on what the challenges were eg outpatient appointment that is unnecessary and not needed.

  • The Solution - What was implemented?

Describe the PKB functionality and how it was implemented to solve the problem.  The changes in processes - IT, admin, Clinical. It may also include other partners/parts/teams of the hospital.

  • The Outcomes/Impact - How did PKB make a difference?

Summary of the results and key facts that prove success (particularly statistical evidence ie clinical time saved, DNAs reduced).  Benefits realised.  Impact on patients, hospital, clinicians etc

  • Learnings and future development - What was learnt from the change and can it be improved even more with the use of PKB?

Allows for any areas of improvement to be made and opportunities for developments/future phases may improve even more eg advanced questionnaire.
