Sharing
Here you can control what your teams and carers can see in your record.
See who has access to your record
Click ‘Sharing’ and then click either Professionals or Friends/Family to see who has access to your record.
Share my record with a carer
Click 'Friends/Family' on the Sharing page and then click 'Add carer' and provide their details, and choose which privacy labels you want them to be able to have access to.
Share my record with a professional
If your healthcare team do not use PKB you can still give individual health care professionals access to your record to help manage your care.
Click 'Professionals' on the Sharing page and then click 'Add an individual' and provide their details, and choose which privacy labels you want them to be able to have access to.
Pending invitations
An email will be sent to the person to invite them to register as your carer or professional. The name of the person you invited will sit in ‘Pending invitations’ until they accept. If they do not accept you can resend the invitation from the pending tab in the navigation bar.
Revoke access to my record
Within the Sharing section, click on the 'Professionals' or 'Friends/Family' button to see a list of everyone who you have shared your record with. Click 'Edit' on the team/individual you wish to stop sharing with and then deselect all privacy labels.
Both you and the team/individual will receive an email notification that you have changed the data you are sharing with them.
Please note that if you stop sharing with a team, they will still be able to access your record to view data that they added to the record. This includes data that they have been collaborating with you on: messages, plans, questionnaires.
Resuming Record Sharing
Start Sharing Again
If you decide you want to restore access to your record for a team or individual, you can easily re-invite them or update their permissions:
For a team with removed privacy labels
Click 'Professionals' on the Sharing page, select the team, and re-select the privacy labels you want them to access. The team will be notified by email.
For previously revoked individuals or discharged teams
Click ‘Past' on the Sharing page, select 'Share records again’ next to the name of the team/professional or carer, and re-select the privacy labels you want them to access. The team will be notified by email.
Completely Disabling Record Sharing
If you want to ensure professionals can never give themselves access to your record again, you have the option to disable sharing entirely.
Please note this means no one except you can see your medical record in PKB. Even emergency ‘break the glass’ access is disabled. Professionals will only be able to see the specific data they themselves added.
Because preventing access to your data carries significant clinical safety risks, you must meet the following criteria and complete a formal consent process to disable sharing:
National Identifier: Your record must include a National Identifier so another user cannot recreate it.
Privacy Officer Consultation: A Privacy Officer from an organisation that has access to your record must explain the medical safety implications to you, as well as alternative ways to stop sharing.
Informed Consent: Once you fully understand the impact on your care, you must provide informed consent. (Note: You can re-enable sharing at a later date by going through a similar consent process).
Exceptions (Who cannot disable sharing)
Patients under 16: Sharing cannot be disabled because healthcare professionals have a legal duty to access and look after a child's record.
Adults lacking mental capacity: Sharing cannot be disabled as the patient cannot give informed consent. A mental capacity assessment must take place first.
Changing my contact preferences & consent
Go to Sharing > Professionals. Click ‘Edit’ next to the team caring for you (if you are cared for by multiple teams you will have to repeat this process for each team). You can also use the prompts/shortcuts from the professionals page.
Scroll down to the Permissions section and amend your answers. Remember to click Save at the bottom of the screen.
